Your organisation's settings
From the Account Details page, you can maintain the key information about your organisation.

Main settings
You can add / edit your company logo that is used for invoicing within Clubs.
You can edit your account Name, phone number, website address and organisation contact email and physical address. (Note that changing your own email can only be done within the 'Users' tab).
You can add your company number and tax number where required.
You can set the Tax Rate that is applied throughout Clubs.
You can set the system currency applicable to your location.
Public Class Booking Link (Standard Plan Only)
At the bottom of the settings page, you will see a public class booking link. This allows customers to book classes online, if they are set within the class planner to permit online booking.
Changing Your Password
You can change your user login password from this page. Note that you will need to enter your old password correctly to complete this. If you have lost your password, you will need to reset it using the reset password option at the login screen.

2FA (Two-Factor Authentication)
We recommend activating 2FA for additional security, when logging into Clubs. 2FA is set at user level, not organisation level, so different users can decide whether to use 2FA or not.
When you first use Clubs, you will see that 2FA is switched off, as in the image below. If you click the switch, you will be presented with a QR code. You can then scan the code from within your preferred authenticator app, such as Google Authenticator. You would then need to enter the verification code provided, and click 'Verify' to activate 2FA.


Once you enter your verification code, you will receive a backup code, which you should store somewhere safe. This backup code will allow you to login, should you lose access to your authenticator credentials.

This indicator will then show in settings, unless you choose to switch 2FA off again.

The next time you login to Clubs, after you enter your email address and password, you will be presented with this page, where you will need to enter the verification code from your authenticator to complete the login.

If you have lost access to your authenticator, you can enter the backup code here to login.
Billing
This section shows details of your current Clubs plan and price. This is where you can upgrade or downgrade your plan as required, or manage your subscription / payment information.

User Management

You can add your team members, employees, or instructors as Clubs users.
Custom Fields
Adding custom fields to a membership management system offers numerous benefits, enhancing both the system's functionality and user experience. These custom fields allow administrators to capture specific information unique to their organisation, tailoring the data collection to fit precise needs.
The Custom Fields feature in Clubs, allows for improved data relevance, enabling a more personalised system, that is tailored to your unique organisation. Custom fields also promote greater flexibility, allowing the system to adapt over time as your requirements evolve.
** Custom fields are only available to users with Administrator permissions or higher.
Custom fields each require a Field Name, and a set of options (values) that users will be able to select from within Clubs. The list of values should be comma-separated, as per the below example.

Once custom fields are added, they will be available to use within the members module. As an example, we added a list of Positions that members may play in a football team. If you now visit a member profile, you will see that these options appear as a dropdown.

Once you add your first custom field to a member, these fields will also be visible in the members summary page, and can be sorted, filtered and grouped as required.

Payment Integration
Clubs offers you the ability to integrate with GoCardless or Payfast. You will need to ensure that you have an account with one of these providers and complete the required fields.
Remember to set the necessary credentials, based on whether you are testing Sandbox Mode, or collecting actual money in Live Mode.
Once credentials have been entered, you can test the connection to your chosen provider, by clicking the Test Connection button.
